How to Build Repeatable AI Workflows
The biggest productivity gains usually come from improving a process, not from asking AI more questions.
Start with a recurring task
Choose work you perform repeatedly: research, meeting preparation, content briefs, customer-response drafts or weekly reporting. Repetition gives you an opportunity to standardise the process.
Map the workflow
- Define the desired outcome.
- List the inputs required.
- Separate tasks that need human judgment from tasks AI can assist with.
- Create a consistent instruction for each AI step.
- Define a review checkpoint.
- Save the successful process as a reusable workflow.
Keep humans in the loop
AI-assisted productivity should not mean automatic acceptance. Important outputs should have a clear review owner, especially when accuracy, reputation, money, compliance or customer trust is involved.
Measure the improvement
Track useful operational measures such as time saved, turnaround time, rework, error rate and consistency. A workflow is valuable when it improves an actual outcome, not merely because AI was inserted into it.
Practice exercise
Document one weekly task in six steps. Mark each step as Human, AI-assisted or Automated. Then redesign only the steps where AI can improve the process without weakening quality control.
